1.  Who We Are

This Privacy Policy explains how ALEX LATTE LTD (“Cocktail & Book Club”, “we”, “us” or “our”) collects and uses your personal information when you use our mobile application (the “App”), our website at cocktailandbookclub.com (the “Website”), and our related membership, community and event services (together, the “Service”).

ALEX LATTE LTD is a company registered in England and Wales under company number 13129331, and is the data controller responsible for your personal information. We are registered with the Information Commissioner’s Office (ICO), number ZC194089. You can contact us about privacy matters at read@cocktailandbookclub.com.

We handle your personal information in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

2.  The Information We Collect

We collect the following categories of personal information.

Information you give us

  • Account and profile information: your name, email address, and profile details such as your city, a short biography or “about” text, a title, and a favourite book, where you choose to provide these.

  • Subscription and delivery information: for paid memberships, your billing details are handled by our payment provider (see the payment section below). For the physical Inner Circle, we collect the delivery address you provide.

  • Content you post: posts, comments, reactions, images you upload, and animated images you share within the community.

  • Poll participation: your votes in features such as the Book of the Month poll.

  • Communications: the content of messages you send us, for example by email or through support channels.

Information we collect automatically

  • Reading activity: information you record using our reading tools, including reading status, reading goals and streaks, print and audiobook progress, your reading log and history, journal entries, and your personal bookshelf.

  • Device and usage information: technical information such as device type, operating system, app version, and information about how you use the Service, collected to keep the Service secure and working well.

  • Cookies and similar technologies on the Website, as described below.

Information from third parties

  • Book information: we retrieve book details, such as titles, authors and cover images, from third-party sources including ISBN. This is book data rather than your personal information.

  • Payment status: our payment provider confirms to us whether a subscription is active, without sharing your full payment card details with us.

3.  How and Why We Use Your Information

We use your personal information for the purposes below, and we rely on the legal bases shown for each.

To provide the Service (legal basis: performance of a contract)

  • Creating and managing your account, providing the free and paid tiers, and delivering the features you use.

  • Managing your subscription, including renewals and cancellations, and arranging delivery of the monthly book for the physical Inner Circle.

To operate our community and events (legal basis: performance of a contract and our legitimate interests)

  • Publishing your posts and comments to other members, running polls, and organising and running events.

To keep the Service secure and improve it (legal basis: our legitimate interests)

  • Protecting the Service and our members against fraud, misuse and security risks, and understanding how the Service is used so we can improve it. Where we rely on legitimate interests, we have considered your rights and do not use your information in ways you would not reasonably expect.

To communicate with you (legal basis: performance of a contract, and consent for marketing)

  • Sending you service messages you need, such as account, subscription and delivery updates. We send marketing messages only where you have agreed to receive them, and you can withdraw that consent at any time.

To meet legal obligations (legal basis: legal obligation)

  • Keeping records we are required to keep, and responding to lawful requests from authorities.

4.  Payment Information

Payments for Inner Circle memberships are processed by our payment provider, Stripe. Your payment card details are collected and processed by Stripe under its own terms and privacy policy, and we do not store your full card number. We receive limited information such as confirmation of payment and subscription status. Because paid memberships are purchased through our Website rather than through the app stores, we, and Stripe, handle your payment information directly.

5.  Who We Share Your Information With

We do not sell your personal information. We share it only in the following circumstances, and only to the extent necessary.

  • Service providers who process data on our behalf under contract, including our website, member accounts and database platform (Wix), our payment provider (Stripe), our email and communications provider, and, for the physical Inner Circle, our fulfillment and delivery partners.

  • Partners for events, such as publishers, venues and authors, where you take part in an event and sharing is necessary to run it. We share only what is needed and tell you where relevant.

  • The app stores (Apple and Google) to the extent needed to make the App available to you, subject to their own privacy policies.

  • Authorities, advisers or others where we are required to share information by law, or to establish, exercise or defend legal claims, or to protect the rights and safety of our members and the public.

  • A successor organisation, if the business is reorganised, sold or transferred, in which case your information may be transferred subject to this Policy.

6.  International Transfers

Some of our service providers may store or process personal information outside the United Kingdom. Where they do, we take steps to ensure your information is protected to a standard consistent with UK data protection law, for example by relying on countries the UK recognises as providing adequate protection, or by putting in place approved contractual safeguards such as the International Data Transfer Agreement. 7.  How Long We Keep Your Information

We keep your personal information for as long as you have an account with us and for as long as needed to provide the Service. After that, we keep it only for as long as we need it for the purposes set out in this Policy, including to meet legal, accounting or reporting requirements, after which we delete or anonymise it. As a general guide, we keep account and content data until you delete it or close your account, and we keep records relating to payments and transactions for six years to meet our legal obligations. Where you delete your account, we remove your personal information within a reasonable period, except for anything we must keep by law.

8.  Your Rights

Under UK data protection law, you have the right to:

  • Ask for a copy of the personal information we hold about you.

  • Ask us to correct information that is inaccurate or incomplete.

  • Ask us to delete your personal information in certain circumstances.

  • Ask us to restrict or object to how we use your information in certain circumstances, including objecting to direct marketing at any time.

  • Ask us to transfer certain information to you or another provider in a portable format.

  • Withdraw your consent at any time, where we rely on consent, without affecting anything we did before you withdrew it.

To exercise any of these rights, contact us at read@cocktailandbookclub.com. We will respond within the time limits set by law. Exercising your rights is free in most cases, and we will tell you if an exception applies.

9.  Deleting Your Account and Data

You can delete your account and associated personal information at any time directly within the App, through the account settings screen, and on the Website. When you delete your account, we remove your personal information within a reasonable period, except where we are required to keep certain records by law. Deleting the App from your device does not by itself delete your account or cancel a paid subscription, which you can manage on our Website.

10.  Children

The Service is intended only for people aged 18 or over. We do not knowingly collect personal information from anyone under 18. If we become aware that we have collected such information, we will delete it.

11.  Marketing

We send marketing communications only where you have asked to receive them or otherwise agreed. You can opt out at any time, either by using the unsubscribe link in our messages or by contacting us at read@cocktailandbookclub.com. Opting out of marketing does not stop service messages that we need to send you, such as account, subscription and delivery updates.

12.  Cookies and Similar Technologies

Our Website uses cookies and similar technologies to make it work, to remember your preferences, and to understand how it is used so we can improve it. You can control non-essential cookies through the controls we provide and through your browser settings. Where required, we ask for your consent before setting non-essential cookies.

13.  How We Keep Your Information Secure

We take appropriate technical and organisational measures to protect your personal information against loss, misuse and unauthorised access, including through the security features of the platform we build on, Wix. No online service can be completely secure, so we cannot guarantee absolute security, but we work to protect your information and to respond appropriately if a problem occurs.

14.  Links to Other Services

The Service may contain links to third-party websites and services that we do not control. This Policy does not apply to them, and we are not responsible for their privacy practices. Please review the privacy policy of any third-party service you use.

15.  Changes to This Policy

We may update this Policy from time to time. When we do, we will post the updated version with a revised effective date, and where the changes are significant we will take reasonable steps to let you know.

16.  How to Complain

If you have a concern about how we handle your personal information, please contact us first at read@cocktailandbookclub.com so that we can try to put things right. You also have the right to complain to the Information Commissioner’s Office, the UK data protection regulator, at ico.org.uk or by calling 0303 123 1113.
